Parking – Complimentary parking is generally available for all MCE Conferences attendees staying on site, however please contact the hotel for confirmation if you are planning to park at the hotel overnight. Local and offsite attendees are also generally offered complimentary parking when attending onsite programs, however, we recommend confirming parking rates with the property if you are not staying onsite.

Lodging Deposit – Lodging Deposit – A deposit of 1-night is due at the time of booking. The full balance will be automatically charged 30-days prior to arrival date to the original credit card used when making your reservation. Should this payment decline, you will receive notification from the property at which point you will be given 48-hours to contact the property with full payment. Should the property not receive full payment within these 48-hours, your reservation will be automatically cancelled and your rate will no longer be guaranteed.

Reservation Modification Fees are as Follows – Reservations modified will be charged a fee of $50USD except when lengthening stays. This $50 penalty is assessed to cover administrative fees.

Lodging Cancellation Policy – Reservations cancelled from the time the reservation is made until 31 days prior to arrival date will incur a fee of $50.00. Reservations cancelled within 30 days of arrival date will be under full penalty and no refunds will be issued. No show reservations are also charged full penalty, 100% of reservation amount.

INDIVIDUAL BOOKINGS CHARGING PROCESS AND CANCELLATION POLICIES (MORE INFO):
Separate individual folios will be established for all guests to cover all charges. Guests before departure from hotel must settle individual folios, and they will be subject to the following cancellation policies and credit card charging process:
1. Reservations will only be confirmed when a valid credit card has been applied.
2. Credit cards that fail will result in a reservation not being confirmed. Clients will need to go through the booking process again and apply a valid credit card.
3. 1-night Deposits – Clients make their reservation either on the website or via the call center will automatically be charged the 1-night deposit. This 1-night deposit is attached to the rate that is booked.
4. Final Payment – Clients will be advised during the booking process and also in their email confirmation that the final payment will automatically be applied to their credit card 30 days prior to check-in.
a. Credit card fails during final payment attempt – Clients will receive an email stating that the payment could not be applied as the card had failed. If we do not receive valid payment within the two business days the reservation will automatically cancel. Resorts will be copied in on this cancellation email.
b. Clients email bounces – there is a report that will be received every two hours of the reservations with emails that have bounced. Attempts will be made to contact the guest and collect the balance due. Again, if we do not receive payment from the guest within two business days, the reservation will automatically cancel, therefore please ensure your credit card was charged.
c. Client arrives with a cancelled reservation – only if there are rooms available then the current rate (or original booking rate if available – not guaranteed) should be advised and payment in full taken at resort.
5. Reservations modified once payment in full is received will be assessed a fee of $50, except for lengthening stay. This $50 penalty is assessed by AMR Direct LLC, to cover administrative fees.
6. Clients that choose to cancel their reservation 31 days or more will be charged a fee of $50. If the client cancels 30 days or less prior to arrival thed the full penalty is assessed and no $50 fee is charged. This $50 penalty is assessed by AMR Direct LLC, to cover administrative fees.
7. Clients will arrive in resort with a full prepaid reservation.

Passport Policy: It is important to note, passports must be valid for up to six months at time of arrival to your travel destination. Passport and visa information may be obtained by contacting the Travel Advisory Section of the U.S. State Department at (202) 647-5225 or by visiting the State Department website at http://www.state.gov/travel. Please be advised, any cancelations due to lack of correct travel documentation will incur penalties as per Hotel’s policy at time of booking. Concerns about the required travel documents may be resolved by contacting the appropriate consulate or embassy.

Our allotment for reduced room rates may sell out before this date. We urge you to secure your lodging reservation as early as possible. Reduced rates will also be offered 3 nights pre and post program dates (based on availability).

Room Reservation Guidelines – The lodging reservation link has been created for the MCE Conference continuing medical education program, and only guests that are registered for this CME conference are eligible to use this site in order to access discounted rooms and/or theme park tickets (if applicable).

  • Attendees must register within (7) seven days of booking MCE discounted lodging to avoid cancellations or increased nightly rates (depending on Hotel/Resort policy).
  • We allow a maximum of 2 room reservations per registered attendee, based on availability and rates at the time of booking.
  • Rooms and/or tickets (if applicable) cannot be purchased for the purpose of, or with the intention of being resold.
  • All reservations must be made under the registered attendee’s’ name, as all reservations and ticket orders (if applicable) will be audited against the CME program registration list. Should it be necessary, we reserve the right to contact you to request proof of registration. If it is discovered that the reservation and/or ticket order is not for an MCE Conferences participant, the reservations and/or ticket order may be cancelled or modified based on the Hotel/Resort policy, and deposits may not be eligible for a refund.

Offsite Guests & Day Passes: The hotel will allow offsite clients onto the property on a complimentary basis so long as there is no access to all-inclusive features and offsite guests are only allowed access to the MCE meeting room. Day passes are also available at $125 per person per day, that will include lunch, coffee breaks, taxes and gratuities for those participants that are not staying at the hotel.

Travel Documents – Travel documents vary based on itinerary. It is the sole responsibility of guests to identify and obtain all required travel documents for the entire duration of their stay and have them available when necessary. Valid travel documents such as passports and Visas are required for boarding and re-entry into the United States and other countries.

All guests must carry a valid passport. Passports must be valid for at least six months after your return date of travel. Guests are responsible to ensure validity dates of passport and to secure proper documentation for countries visited. Please consult your respective State Department or Foreign Ministry for specific Visa and entry requirements for countries scheduled on your travel itinerary. Note: If your passport is lost or stolen on a trip, you could be denied entry into your home country. To avoid this issue, we recommend following some practical steps: Make two copies of your passport ID page – that’s the page with your picture, your date of birth, etc. This can be an image scan or hard copy. Give one copy to someone you trust – a friend, family member, or assistant – in case you need to contact them while on your trip. Keep the other copy with you. If it’s printed, put it in your carry-on (not your checked luggage – that could go missing). If it’s an electronic copy, make sure you have access to it when you leave the U.S. (on your mobile device, or in your e-mail, for example).
